Bookstore Reserve Orders

Transfer orders from OCLC. DO NOT print slips or input price.

Fill in any pertinent information not already included on the e-mail printout to ensure you have the correct book when you are at the Bookstore. Be sure the Country Code matches the appropriate Scotty code.

OCLC transfer line should read:

Key in any title not found on OCLC using the appropriate coding listed above. Write purchase order numbers on e-mail printouts. If the OCLC transfer duplicate check found dups, verify the title is alright and change the status from 1 to o (do not print a slip).

Count on searching statistics.

Get a Recharge slip. Use the slips which already have a Request ID Number (R- 0000xxxx) filled in first. Write on the Comments line: TITLE, PO#, Fund. (If you are purchasing multiple copies or a specific edition number, you may also include that information as well, or if the title is generic, you may want to include the author's name.) Be sure Account's Unit Supervisor transactor name is on the recharge slip. Be sure the pre-printed Account Number for Books has been crossed out and the Account number 803250 has been written in. Give the recharge slips to the Accounts Unit Supervisor to input titles into the bookstore's web recharge site and to get Request ID numbers for any that don't already have one. If the Accounts Unit Supervisor is not available, you can just take the slips to the bookstore without being pre-input and bookstore staff will input the information instead. However, DO THIS ONLY AS AN EMERGENCY since the bookstore doesn't put the correct account and funding information into the system and causes accounts unit more work to identify the item and sort it out. (The slips with the Request ID numbers already filled in have been input without title information in case of emergencies. If you use these without giving them first to Accounts, give the copy to the Accounts unit supervisor upon return to enter title information into the online record. If you had to use the slips without the Request ID numbers, let the Accounts Unit supervisor know since the bookstore will input them with incorrect information and they must be corrected as soon as possible.) When the supply of Recharge slips with account numbers and/or Request ID Numbers gets low, notify Accounts Unit supervisor so she can provide more.

Be sure you have your ID card with you. Take the Recharge slips to the text department of the bookstore. They will give the books to you. Take the books and recharge slips to the cash register. At the register & in front of the cashier, sign the recharge slip on the line for "Merchandise Received by: Signature". Write your phone extension and "staff" on the identification line. The cashier should sign the cashier line and check your ID card, they may also write your ID # on the identification line. They will ring up the books and run the recharge slip through the register and give you back the yellow copy.

Update Scotty: insert a received date, price, verify format (paper or cloth).

Get a pink Receiving flag. Along the top write the PO number. Fill in the date and your initials. If the title is an added something check the appropriate line. Check the Rush line and circle the appropriate location. On the Notification Line write the Quarter wanted, the class, and the requesting professor. Put the flag and a red RUSH flag in the book and put the book on Jean Weiss' Desk in cataloging with a note that they are Bookstore Reserves.

Date, initial, and write "Hold for Recharge" on the yellow recharge copy, then make a photocopy of it and attach photocopy to the e-mail printout. Put the yellow copy in the bin on top of the file cabinet in the Accounts Unit next to the bin for invoices ready for payment. (If the titles have not yet been entered into the online web recharge system, put them instead on the chair of the Accounts Unit Supervisor with a note.) Accounts Unit will post the payment in Scotty. Put the e-mail printouts in the bin labeled "Ready to file" in the student's work area.
