From Millennium Acquisitions,
Click the "Send" button on the Left hand Navigation Bar.
The system will display the list of Purchase orders in the Print Queue.
Click the drop-down button to change the display from "Purchase orders to PRINT" to
"Purchase orders to send via EMAIL".
Scan both Print & email lists for items that should not be printed/sent. Suspects
include Order dates that are old, vendors that are known to receive orders another way (Amazon gets
ordered on the web, Lindsay & Croft gets mailed the blue Notification slips (until the new electronic
vendor codes are created), USBE is ordered via their website, etc.)
View the suspected records by highlighting the item in the list and clicking the
"Edit" button from the Toolbar across the top, or by double clicking on the item. You may correct
any information on the order from the pop-up window that displays and save any changes. When finished
with the record, close the popup window to return to the list of Purchase orders.
Delete any item necessary by putting a checkmark in the select box to the left of
the items, then click the "Delete" button from the toolbar across the top.
Once satisfied that the purchase order queues are correct,
display the "Purchase orders to send via EMAIL".
Click the "Send" Button.
In the dialog box, choose "Send all", and click the "Send" button.
When finished the system will display:
"Send completed. Delete sent entries?" Choose "Yes" to delete all entries
from the EMAIL Queue.
(Choose "No" if some problem occured which requires the list of titles to be saved)
After sending e-mail orders, send the EDIFACT orders via FTP following the procedures indicated in the "Sending
EDIFACT Electronic Orders" Procedures.
Once all electronic POs have been sent, Click the drop-down list to display "Purchase orders to PRINT".
If there are purchase orders to be printed:
Load PO Forms:
The Red Line on the print-head shield should hit just beneath
the blue line under "DATE:" on PO form. (Or the Printer's
plastic ruler should underline the "S" in "Ship"
on the PO form.)
Click "Sort All" to sort the file before processing
Type "o" (order), Field "22" (vendor), Click "Append" button
Type "o" (order), Field "q" (vendor address), Click "Append" button
Type "o" (order), Field "06" (inputter)
Click "Save/sort" button to perform the sort.
Click the "PO Print" button.
In the dialog box select "Align paper", and click "Print".
Select the printer "OKI-395 System Printer-3" and click "Print".
Verify the alignment is correct and set the printer to NLQ.
They system will display: "Is paper aligned?" Answer "No" to re-adjust and print a new form, answer "Yes"
when it is correct.
A dialog box will then pop up again,
this time choose "Print All" and click the "Print" button.
The system will ask "Was the printout ok?"
Check the Purchase orders carefully. Check that all purchase orders are legible.
Pay careful attention to any purchase orders that may have diacritics. If diacritics made any items
unreadable, or if the printer jammed, etc. Answer "No" to leave the items in the print queue.
(*****GET HELP IF SOMETHING HAS GONE WRONG!!*****) POs can be manually deleted from the
queue if indavertently left in the queue despite being mailed by putting a checkmark in the select box and
clicking delete as described earlier.
If all the Purchase orders printed correctly, Answer "Yes" to remove the items from the
print queue.
After sending e-mail orders, check the Seeker e-mail.
Print the vendor confirmation e-mails.
Take the vendor confirmations and the printed purchase orders to the back table and
match the paperwork to the purchase order/confirmation.
Put a checkmark on the paperwork to indicate a purchase order was matched and mailed.
Also match the vendor confirmations with the paperwork, verify the correct isbn was
transmitted for each order and that an order was transmitted for each title. Put a checkmark near the
isbn on both the vendor confirmation and the paperwork (notification slip).
Sort the paperwork by PO# and file in the drawer.
Return completed Notification slips to the inputter who will verify all follow-up is complete then toss the
slips.
For any orders/slips which didn't get a confirmation or PO printed but should have, search Millennium
for the title, verify a PO was not requested, Queue a PO, and save the record.
Return corresponding paperwork to the "waiting for PO" bin to be matched the following day.

(M) Management
(I) Information about the system
(F) File Information
(A) ACQUISITIONS/Serials status
Purchase orders __ to process, __ to be reprinted, __ printed,
__ sent
(The # "to be printed" or "to process" is
the number of POs that will print in the next print session.)
(Q) Quit 4 times to get back to Main Menu, then (X) Exit to exit out of Telnet Scotty.
