Special Checkin Serials (Unprocessed) Procedure

This procedure applies to non analytic serials excluding serials fully processed by Serials Unit (see Special Checkin Procedure). It covers all serials needing binding decision or just binding.

Serials Unit, Acquisitions Department

Any staff member checking in the serial title will check the status of the title and the different type of action will be taken upon it:

Active titles

Staff member will check the issue in and change its status at the same time to "Bind Prep" and put a note in the checkin box, "Given to Bind. Prep., date, initials". The issue will be stamped with the appropriate date/property stamp. A worksheet will be printed, attached to the issue and put on the proper binding shelf or "Binding Decision Shelf". This procedural action covers all types of binding including pam bind, mylar bind, cover ups, full bind [buckram], LC bind, fast back and titles which need binding decisions.

Inactive titles

Staff member will post the note on the checkin record when the issue was received and sent to Bind Prep Unit, date, initials [e.g.: v.25(1996) rec'd/sent to Bind Prep, 3/7/00, ks]. The issue will be stamped with the appropriate date/property stamp. A worksheet will be printed, attached to the issue and put on the designated binding shelf or "Binding Decision Shelf". This procedural action covers all types of binding including pam bind, mylar bind, cover ups, full bind [buckram], LC bind, fast back and titles which need binding decisions.

Reference and Rush titles

The above will be handled according to their status in the checkin record (active or inactive) and always put on the "Rush Shelf" along with an attached worksheet.

Cage titles

Cage titles will be handled according to their status in the checkin record (active or inactive) and stamped with the red dot stamp. A worksheet will also accompany the issue.

Bindery Preservation Unit, Preservation Department

Pull issues off the binding or "Binding Decision Shelf". For active titles, change the status of an issue on the checkin card to "To Bind" when it is sent to the bindery. For the inactive titles, change the note on the checkin record to "Sent to bindery, date, initials". Titles pulled off the binding decision shelf will have a binding decision made and the binding information will be added to the record. From that point, titles will be handled according to the status on the checkin record (active or inactive).

Reference and other "Rush" titles will be handled before all others.
