First search is considered done if students/staff don't find the title in Innopac at the time of checkin. The issue is placed on the top shelf of the unsolicited materials shelves with a "Material Received-No Pac Record" slip, with searches done indicated on the flag (title, author, ISSN, etc.)

Staff, not students, do the unsolicited material second search. This enables a little further checking to see if it is a related title, comes with a membership, etc. Second searches should include title, author, ISSN, series, and Melvyl searches.

If the title is not found in Innopac, Serials Supervisor will review and make a decision to discard, route to CDD for further review, etc. The supervisor will then place reviewed titles on the appropriate shelf.

Once a decision has been made, staff member keys in an ssru bib record and places a note in Innopac with decision made. Place a worksheet with the bib record number in the issue if sending to CDD and fill out a CDD review worksheet. Send via campus mail to the bibliographer indicated on the flag.

In some cases, an attempt to contact the publisher is made by the Serials unit requesting a cancellation of the gift, only if it will not jeopardize wanted subscriptions. See sample letter attached.

At the time of checkin, if an SSRU bib record is called up that has a note, "Sent to CDD for review," place new issues on the unsolicited material shelf with a worksheet. Do not send later issues to CDD if one has already been sent to them. The Serials Unit will keep additional issues received and periodically contact CDD regarding a decision.

For SSRU records that have a "discard" directive, add a note with the issue received only once per calendar year. The note should contain the volume and issue number discarded, the date and initials. Issues are then stamped "discarded" and thrown away.

Once CDD makes a decision, update the SSRU record with the bibliographer's initials, date and your initials. Process according to the bibliographer's decision.
